1.Who we are

Abide Collective is a marketing agency. We run paid advertising, creative, websites and CRM automation for businesses. We operate from Southeast Asia and work with clients in Australia and other countries.

In this policy, “we”, “us” and “our” mean Abide Collective, and “you” means anyone whose personal information we handle.

This policy covers our website at abidecollective.io, our ads and lead forms on Facebook and Instagram, our booking pages, our calls and messages, and the work we do for clients.

We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth), and with the privacy laws of the other countries where we work.

2.What we collect

Information you give us

  • Your name, email address, phone number, business name and business website, when you fill in a form, submit a lead form on Facebook or Instagram, or book a call.
  • Anything you choose to tell us on a call, by email, in a message or in a form, such as what your business sells and how it currently gets customers.
  • Billing details when you become a client. Card payments are handled by our payment provider. We do not see or store your full card number.

Information collected automatically

  • Technical details such as your device, browser, IP address and approximate location.
  • How you use our website, including the pages you visit and whether you book a call.
  • How you found us, including the ad you clicked and any campaign tags in the link.

We collect this using cookies, pixels and similar tools. See Cookies, pixels and advertising.

Information from other sources

  • When you submit a lead form on Facebook or Instagram, Meta may prefill some fields from your profile. You can edit them before you submit, and nothing reaches us until you do.
  • Advertising platforms report back on how our ads perform. This is mostly grouped data that does not identify you.

Information we access when you are our client

To deliver our services you may give us access to your ad accounts, analytics, website, CRM and booking tools. These can hold personal information about your own customers. When we handle your customers’ information explains how we treat it.

3.How we use it

We use personal information to:

  • reply to your enquiry, and book, confirm and remind you about your call
  • follow up with you about your enquiry by phone, SMS or email
  • understand your business and prepare a quote
  • deliver, manage and improve the services we provide to you
  • send invoices and manage our client relationship
  • measure and improve our own advertising, including showing our ads to people who have visited our website or engaged with us
  • keep our systems secure, and meet our legal, tax and accounting obligations.

We only use your information for a purpose you would reasonably expect, or one you have agreed to.

4.Messages from us

If you submit a form or book a call, we will contact you about that enquiry, including confirmations and reminders by email and SMS.

We only send marketing messages where you have agreed to receive them or where the law otherwise allows it, in line with the Spam Act 2003 (Cth). Every marketing email includes a way to unsubscribe, you can reply STOP to any SMS, and you can email [email protected] to opt out at any time.

5.Cookies, pixels and advertising

Our website uses cookies and similar technologies, including tools provided by Meta and by our website and CRM platform. They help us:

  • keep forms and the booking calendar working
  • understand which pages and ads lead to booked calls
  • show our ads to people who have visited our website.

You can block or delete cookies in your browser settings, although some parts of the site, such as the booking calendar, may not work properly without them. You can control the ads you see on Facebook and Instagram in your Meta ad preferences.

6.Who we share it with

We do not sell or rent your personal information.

We share it only with the people and businesses that help us run Abide Collective, and only as much as they need:

  • our website, forms, booking calendar, CRM and messaging platform (GoHighLevel, also known as LeadConnector)
  • advertising platforms such as Meta, which runs Facebook and Instagram
  • our payment provider (Stripe), and our accounting and banking providers
  • email, video call, file storage and productivity software
  • software tools, including AI-assisted tools, that help us write, design and manage our work
  • contractors who work on our behalf and are required to keep information confidential
  • professional advisers, such as accountants and lawyers.

We may also disclose information where the law requires it, to protect the rights or safety of any person, or as part of a sale or restructure of our business.

7.Information handled outside your country

Our team works from Southeast Asia, and our service providers store and process data in several countries, including the United States. This means your personal information will be stored or accessed outside Australia.

We take reasonable steps to make sure the people and providers we use protect personal information to a standard consistent with the Australian Privacy Principles, and we remain responsible for how it is handled.

8.How we protect it

We keep personal information in reputable, secure software, limit access to the people who need it, and use strong passwords and two-factor authentication where it is available.

No system is completely secure. If we become aware of a data breach that is likely to cause you serious harm, we will tell you and, where required, the relevant regulator.

9.When we handle your customers’ information

When you hire us, we may work with personal information about your customers and leads, such as people who submit your lead forms or book through your calendar. For that information:

  • you remain responsible for it, including your own privacy policy and any consents your business needs
  • we use it only to deliver the services you have engaged us for
  • we never use it to market Abide Collective or to benefit another client
  • your ad accounts and data stay in your name, and you can remove our access at any time
  • when our work together ends, we stop using it and, on request, return or delete what we hold.

10.How long we keep it

We keep personal information only for as long as we need it for the purposes in this policy, or as long as the law requires, for example tax records. After that, we delete it or remove anything that identifies you.

11.Your choices and rights

You can ask us to:

  • tell you what personal information we hold about you
  • correct information that is wrong or out of date
  • delete your information, where we are not required to keep it
  • stop sending you marketing messages.

Email [email protected]. We may need to confirm your identity first. We will respond within 30 days, and we do not charge for a request.

12.Complaints

If you think we have mishandled your personal information, email [email protected] with the details. We will look into it and respond within 30 days.

If you are in Australia and you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992. If you are elsewhere, you can contact your local privacy regulator.

13.Children

Our services are for businesses. We do not knowingly collect personal information from anyone under 18.

14.Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. If we make a significant change, we will make that clear on this page.
